EXIM Documentation & Compliance Associate - Global Trade
Location: Bengaluru, H.Q
Key Responsibilities
• Handle end-to-end export documentation for finished goods shipments, covering both pre- and post shipment processes.
• Coordinate with internal departments (production, QC, dispatch, accounts, procurement, finance) to ensure timely order processing and documentation readiness.
• Liaise with freight forwarders, shipping lines, CHAs, and customs brokers for bookings, container planning, BL issuance, customs clearance, and last-mile delivery.
• Prepare and verify all export-related documents including commercial invoices, packing lists, COO, container layout plans, Form 13 submission, VGM filings, and shipping bill handover.
• Submit export documents through platforms like ODEX and Cargoes Community System; ensure accurate and timely handover to banks under LC/DA/DP terms.
• Coordinate with buyers/consignees for shipping instructions, document approvals, and shipment updates.
• Track and monitor shipment status, proactively managing delays, exceptions, and changes in schedules; maintain accurate records in ERP systems (e.g., SAP, Zoho) and tracking sheets.
• Ensure compliance with export regulations as per DGFT, customs, and buyer country requirements; support audits and documentation reviews.
• Manage export incentive claims including EPCG, Duty Drawback, RoDTEP, RoSCTL, etc.
• Maintain MIS reports such as shipment tracker, LC tracker, and freight cost analysis; support audit and reporting needs. • Contribute to process improvement initiatives, cost optimization, vendor evaluation, and the development of SOPs for export operations.
• Ensure adherence to international trade laws, import-export regulations, and sustainability standards. Required Qualifications • Post Graduate / Bachelor’s degree in Operations & Supply Chain, International Business, or related field.
• 5+ years of experience in import/export operations and documentation. (Mandatory)
• Strong knowledge of export procedures, LC documentation, Incoterms, HS codes, customs regulations, DGFT, ICEGATE, EXIM documentation, and international shipping and logistics protocols.
• Proficiency in Microsoft Excel, ERP systems, documentation software and logistics platforms.
• Strong communication and coordination skills.
• Meticulous attention to detail and problem-solving ability.
• Detail-oriented with the ability to manage tight deadlines and multiple shipments simultaneously. Preferred Qualifications
• Experience in manufacturing companies.
• Certification in International Trade, EXIM, or SCM (e.g., IIFT, CII, APICS).
